Write items crews can close
Replace vague notes like 'finish bathroom' with a specific location, condition, reference, and expected result. Split separate trades or corrections into separate rows.
Control the verification step
The person completing work should not be the only person closing it. Use ready-to-verify as an intermediate state, then record acceptance and a photo where useful.
Keep scope and warranty distinct
Mark whether an item is contract scope, an approved change, owner damage, or warranty work. This prevents the closeout list from silently becoming unpaid extra work.
